Here is the BUCS Match Day Checklist:

  • Send trip form to the Activity Groups Coordinator (the day before the game)
  • Add new players to your squad Fill out your team sheet
  • Go to your fixture venue
  • Approve or dispute your opponent’s team sheet
  • Play fixture
  • Submit your results

If there is an issue with injuries, travel, or lack of players leading up to a fixture you have until midday Monday before the fixture to inform the activity groups coordinator to avoid a walk-over

What you need on a match day:

What is BUCS Play?

  • BUCS Play is the hub for all domestic British university sport competitions
  • It will be used for both league programmes and events.
  • EVERY athlete who wishes to compete in a BUCS event or for a BUCS team must create a BUCS Play account using their University email address to be eligible to participate.
  • Information about who you are playing, where the venue is, what time the game will start and where you stand in the league can all be found on the app.
  • Download the BUCS Play app or visit the desktop version via BUCS Play website

Team Sheet guidance

  • A team sheet lists all the students who will be playing or a substitute for a BUCS fixture. They must be completed before a game begins and submitted onto the BUCS Play app. Before the beginning of a fixture, you need to check your opposition have submitted or supplied their team sheet. You will need to approve or dispute your oppositions sheet. Student cards should also be checked at this point to ensure that all named players are members of that university.
  • In case of technology issues, we advise all teams to carry two hardcopy team sheets to complete. This hardcopy can be found here.

Match Results

  • It is a BUCS requirement to input the results of a match online before midday of the next working day. This can be done through the BUCS play app, if you are competing at home this is your responsibility. We also recommend that you check the results have been inputted correctly if you are playing away. If you are unable to submit the results yourself, please let the Activity Groups Coordinator. Competition Guidelines

  • To apply for competitions all competitors must have registered on BUCS Play with their university email address and then subsequently joined the relevant community. All events can be found here and will have relevant details such as Student/Competitor Deadline which all students must apply via BUCS Play before the deadline in order to be accepted to the event.
  • Each BUCS event has their own specific enter requirements, so it is important that each student takes the time to read the events page to have greater understanding of what is required.
  • If you have any issues with entering the event through the BUCS Play app please contact BUCS Play and send across the details to SU Activities or Holly Crowther before the Student Deadline, which can be found on the events page.

Guidance

  • When the conditions of your match or competition do not adhere to those outlined in the BUCS General Regulations or Sport Specific Regulations you are entitled to complete a Playing Under Protest form as soon as the issue arises, whether this is at the start of the fixture or during the fixture. Both teams must sign and cannot refuse (please note that the opposition is simply signing to acknowledge that the other team have a grievance and have raised the issue). Once a playing under protest form is signed in either a home or away situation please inform the Activity Groups Coordinator as soon as possible.
  • Please remember that if a team advises you of a situation that will affect the type of play before fixture day and you choose to still travel, then you are accepting the conditions as advised and do not have the right to ‘Play Under Protest’.

Competition Guidelines

Travelling to fixtures

  • Before travelling to an away game, you must send a trip form to SU Activities by midday the working day before a fixture. A trip form contains in the information of the passengers and drivers of the team and is important when reimbursing drivers and knowing what students have gone to play a game.
  • Own Vehicle: If you drive your own vehicle to a fixture then you will be able to claim back 30p per mile, calculated from the University to the address of the facility you are playing at (listed on the trip form).
  • Union Vehicles: The Union owns several multiperson vehicles which can be used by activity groups. In order to use the cars your team will need an eligible driver to pass a test with the activities team. To be eligible you must be over the age of 18, have driven for over one year, and hold a full clean UK driving licence.   • When you have a driver, you can then book the cars by emailing SU Activities. Teams who have more members and they are travelling a further distance will be prioritised over other teams. A request must be made a week in advance of the fixture or the bus may be allocated to a team who requested it within the deadline.
  • Coach Hire: If you have a big team or are travelling a significant distance you may need to hire a coach. If you feel you may need a coach for a game please contact Holly Crowther in advance of your fixture with the following details: date of the fixture, number of seats needed, the departure time and pick-up time needed. The earlier the request is made the higher likelihood a coach can be booked. Also note this is something your budget would need to accommodate.

Incident Procedures

  • Injuries during games: If an injury occurs during a fixture to one of your teammates when at an away game or to any participant when at home, please contact the Activity Groups Coordinator or the Vice President Activities and Commercial as soon as possible.
  • If an accident happens during training or at a game, you have a responsibility to complete an Accident Report Form which is sent directly the Student Union.
